Reservation Agent

Job description

The agent increases hotel revenue and guest satisfaction by receiving and processing reservations under the supervision of the Space Manager. Greets guests politely over the phone and records reservation details accurately. Identifies and records group and individual business codes and informs other departments of VIP guest arrivals. Determines commissionable bookings, gathers required information, and records and processes deposit data. Documents special billing instructions and approves credit after consulting the Space Manager. Organizes all reservations systematically and contributes to maximum hotel occupancy by maintaining accurate room inventory. Assists in preparing four‑day forecasts and the VIP list. Achieves optimal occupancy and average rate using revenue management and upselling techniques. Handles all special requests accurately, with VIP requests pre‑booked. Keeps the Space Manager informed of new group bookings. Uses guest history files to deliver personalized service. Promotes hotel restaurants and services to boost satisfaction and revenue. Processes incoming correspondence, faxes, and reservation messages swiftly and accurately. Complies with corporate policies, maintains guest information confidentiality, reports risks immediately, follows emergency procedures, works safely, and maintains a professional appearance. Attends required meetings and trainings, assists colleagues with manager approval, ensures guest satisfaction by fulfilling requests courteously and efficiently, keeps the work area clean and orderly, reports faults, and seeks to improve reservation knowledge and hotel facilities.
